Camp Policies 2025
Organizational Structure and Legal Entity • These policies and terms apply to both Language Kids World and Language Kids Houston LLC. For legal and operational purposes, Language Kids World is a registered Doing Business As (DBA) name under Language Kids Houston LLC, which is the legal entity providing services. By enrolling your child in any program, camp, or activity offered under the name Language Kids World or Language Kids Houston, you are entering into an agreement with Language Kids Houston LLC. Any reference to either Language Kids World or Language Kids Houston within these policies is intended to refer to the same organization, Language Kids Houston LLC, and all provisions apply equally to both names.
Waitlist Policy • Registrations are on a first-come-first-served basis. Parents and caregivers may place a camper on a waitlist at no charge. If a spot becomes available, Language Kids World will attempt to contact the parents or caregivers on the waitlist via phone and or email. If a parent or caregiver wishes to add early or extended immersion to their regular camp session and the early or extended immersion portions are full, the parent or caregiver may add the camper to the waitlist for early or extended immersion at no charge.
Payment Plans for Summer Camps • Upon registration, a 20% down payment will be applied toward the total balance due. The balance due, after the down payment has been applied, will be automatically charged on the first day of each month until the balance is paid in full. The charges will be made to the original payment method and/or the credit card on file. All camps taking place in June (the first day of the camp week is in June), must be paid in full no later than May 1st; all camps taking place in July (the first day of the camp week is in July), must be paid in full no later than June 1st; and, all camps taking place in August (the first day of the camp week is in August), must be paid in full no later than July 1st. If the payment method fails and the camp weeks are not paid in full by the dates mentioned, Language Kids World reserves the right to drop the camper for the unpaid camp week(s) following a five-day grace period to cure that default. Any payments made for unpaid camp weeks are non-refundable.
Refunds, Cancellations, and Transfers • Delivering the camp program requires Language Kids to make numerous irreversible spending decisions many weeks and months before the summer begins. Language Kids makes these irreversible spending decisions based on the number of campers enrolled and in reliance on parents maintaining (i.e., not canceling) the camper’s enrollment. Moreover, enrolling the camper takes staff time and resources, and holding a space for the camper may result in turning away other campers throughout the year. For these and other good reasons, Language Kids has implemented the following policies:
Refunds Once Camp Begins: Once camp begins, refunds will not be issued for non-attendance of one or more days of camp for any reason.
Cancelations of Enrollment • If canceling a camp before April 30th, parents will receive a refund of the amount paid.
- If canceling a camp after April 30th, parents will receive a refund of the amount paid minus a non-refundable $50 per camp week, only if letting Language Kids World know of the cancelation in writing at least 14 days prior to the first day of the camp (not counting the first day of camp). Notices must be emailed to info@languagekids.com.
- Refunds will not be made in any amount or for any reason for camp weeks canceled less than 14 days prior to the first day of the camp (not counting the first day of camp). The $50 non-refundable per camp week paid toward canceled weeks of camp cannot be applied to an existing week of camp or any previously registered week of camp.
Transferring Camps • Transfer requests must be submitted in writing to info@languagekids.com.
- If the request is made more than 14 days prior to the first day of the earlier camp week (not counting the first day), the transfer will be processed at no additional cost.
- If the request is made less than 14 days prior to the first day of the earlier camp week, a $50 fee per transferred week will apply.
- Transfers are subject to availability and are not guaranteed.
Forms and Waivers • Parents or authorized caregivers must sign the waivers required by Language Kids World and/or the specific location where each camp takes place. Children without a signed waiver will not be allowed to participate in a camp.
Sign-Out and Custody Protocol • Language Kids World staff members will release children only to authorized individuals, as designated on the registration form or otherwise designated in writing by the registering parent. Parents must provide the name and contact information of any persons authorized to pick the child up, and that information must be provided upon registration before the student is allowed to attend the program. All children must be signed-out every day by a parent or an authorized individual. Failure to sign your child out will be regarded as an “incident” and may result in suspension from the program or termination of the camper’s enrollment, and Language Kids World will not be obligated to refund for the missed day(s) of camp. For persons picking a child up from camp, showing a photo ID is mandatory upon request. Parents or authorized caregivers must notify Language Kids World in writing if there are any changes in the persons authorized to pick up their child. Parents can notify Language Kids World by emailing info@languagekids.com.
If an individual attempts to pick up a camper without written authorization to do so from the registering parent or legal guardian, then Language Kids World staff will immediately contact the registering parent or guardian to inform them of the request and gather relevant information. Without written consent from the registering parent or guardian, Language Kids World will not release a camper to an individual unless they provide verified legal documentation, such as a certified court order, that clearly and unambiguously establishes the individual’s right to pick up the camper.
From time to time, Language Kids World may receive requests from one parent or legal guardian to restrict another parent or guardian’s communication, access to information, or ability to pick up a camper. If such a request is supported by a valid and current court order, Language Kids World will comply with its terms. However, in the absence of a court order, Language Kids World cannot: limit communication between a parent or legal guardian and their child; prevent a parent or legal guardian from picking up their child; or restrict access to information about the child.
Late pick-up • If a child is picked up after the time the session ends, a late fee of $1.00 per minute will be assessed. Late fees will be invoiced to parents, and if not paid within three days, they will be charged to the card used for camp registration. If Language Kids World is not able to collect the payment, Language Kids World may not allow a child to re-enter the program until the fee is paid. Missed days due to lack of payment of a late pick-up fee will not be refunded.
Authorization for Additional Charges • By providing your credit card information and agreeing to our terms, you authorize Language Kids Houston LLC to charge your credit card on file for any unpaid balance related to services, products, or fees that you have agreed to purchase or incur, including but not limited to late pick-up fees and forgotten lunch fee. You agree that all charges applied are in accordance with the pricing and terms outlined at the time of purchase or service agreement.
Camper Behavior Expectations • Please review our Camper Behavior Expectations with your child prior to their first day of camp.
Appropriate behavior is expected from all campers at all times, and to promote a safe, fun and healthy camp environment through their positive participation.
To ensure safe and enjoyable programs for everyone, campers will be held to the following expectations.
- Listen and follow directions
- Participate in camp activities with a positive attitude
- Keep your hands and feet to yourself
- Stay within your teacher’s eyesight
- Work together and be kind
- Remain in their designated program area
- Show respect to other campers, teachers, and all other people
- Show respect for equipment, property, supplies and the facilities
- Make safe choices
- Have fun!
The staff at Language Kids World will handle behavioral issues through redirection, by setting clear expectations, and through positive reinforcement. Staff members will help campers understand why a certain behavior is not appropriate and what is the behavior expected at camp. After carrying out inappropriate behavior, the camper will receive a warning. If a camper continues with unwanted or inappropriate behavior, the camper may be suspended immediately from camp.
A camper may be suspended immediately and without warning, if disrespectful or unsafe behavior towards another student or staff member is displayed by either a camper or a parent or caregiver of a camper. Parents and caregivers must make sure their children understand the expected behavior toward other campers and staff. In the event a camper’s behavior becomes disruptive, or unsafe to himself/herself or others, or the camper does not respond to intervention, the parent/authorized caregiver will be called to pick him/her up immediately.
Parent and Caregiver Behavior Expectations • At Language Kids World, we strive to create a positive, safe, and inclusive environment for all campers, staff, and families. To ensure this, we expect parents and caregivers to adhere to the following behavior guidelines:
- Parents and caregivers must communicate respectfully with camp staff, other parents, and campers. Harassment, inappropriate language, threats, or aggressive behavior will not be tolerated.
- Parents and caregivers are expected to follow all camp policies and procedures, including drop-off and pick-up guidelines, security measures, and safety protocols.
- Any concerns or issues should be addressed calmly and directly with the camp administration.
- Parents and caregivers must respect the safety rules and refrain from bringing prohibited items, including weapons or harmful substances, onto camp premises.
- As role models for campers, parents and caregivers should demonstrate kindness, patience, and a commitment to fostering a supportive camp community.
Failure to adhere to these expectations may result in restricted access to the camp or dismissal of the camper from the program. We appreciate your cooperation in helping us maintain a welcoming and productive camp environment.
Potty Accident Policy • Campers must be fully toilet-trained and may not wear diapers at camp. All children ages 5 and under must be sent to camp with one change of clothes. If a camper has a potty accident and does not have a change of clothes, the Language Kids World staff will contact parents or caregivers to bring a change of clothes to camp right away. The soiled clothes will be sent home with the child in a Ziplock bag. Language Kids World teachers and staff members will take the children on potty-break frequently and they will ask children to let their teacher know when she or he needs to go potty. If in spite of our efforts to prevent potty accidents, a camper continues having potty accidents and demonstrates that they are not yet potty trained, Language Kids World will remove the camper from the program until they are fully potty-trained. A camper will be removed from the program after three potty accidents within a week.
Nap-Free Camp • Our camp keeps children active and engaged in learning all day, and there is no nap time at camp.
Academic expectations • Language Kids World’s program is an academic language acquisition program designed to help students develop foreign language skills and cultural awareness. To help us track each camper’s progress, an assessment of some core vocabulary learning objectives will be conducted on both the first and last day of the camp week. However, we recognize that each child is unique and learns at their own pace. Language Kids World and its employees cannot guarantee that students will achieve any specific proficiency level or language production level in the target language. Parents hereby acknowledge and agree to this understanding before registering their child for camp, recognizing that success in language acquisition varies for each individual student.
Reading and Writing Learning Segments • In addition to focusing on conversational language skills, campers will participate in structured activities designed to support the development of reading and writing skills in the target language throughout the camp week.
Special Needs • To help us provide a safe, inclusive, and supportive environment for all children, parents or caregivers should share any information about their child’s unique needs or required accommodations in the registration form. This information enables Language Kids World to provide a safe camp environment and determine whether reasonable modifications can be made to support the camper’s safe participation in the program. Language Kids World complies with the Americans with Disabilities Act and all other applicable federal, state, and local laws in evaluating and providing reasonable accommodations for children with disabilities. If a parent or caregiver adds or updates information regarding a camper’s support needs, disability, or required accommodations in the online portal after registration, they must also notify Language Kids World in writing by emailing info@languagekids.com. This ensures that camp staff receive timely and accurate updates to support each camper effectively.
Medical Needs • Our teachers do not have medical training, and there is no nurse or medical staff available at camp. In the registration form, parents must disclose any medical needs that are relevant to the child’s safety in our programs. This information allows us to prepare appropriately to provide a safe experience, ensure we are equipped to address their child’s needs effectively, and provide reasonable modifications when applicable. If any changes are made by a parent or caregiver to the registration details in the online portal to add or modify details regarding a medical need, parents or caregivers must immediately inform Language Kids World in writing at info@languagekids.com to ensure camp staff are properly updated.
Language Kids World staff cannot administer any medication (prescription or over the counter) unless a Camp Medication Form is previously completed and signed by the camper’s parent or authorized caregiver. A Camp Medication Form must be completed for each week of camp. All prescriptions must be in the original container. Staff will hold and dispense medication according to the physician’s instructions or instructions on over-the-counter medication.
Language Kids World staff will retain the medication for the duration of the session and return any unused medication at the end of each session. Parents or authorized caregivers are responsible for requesting unused medication from Language Kids World staff. It is also the responsibility of parents or authorized caregivers to ensure Language Kids World staff has enough medication for the camper for the entire week. We require physician’s information for both prescription and over-the-counter medication. If multiple medications are required to be administered to the same child, the parent or authorized caregiver must fill out and sign a Camp Medication Form for each medication. Our staff will offer the medication to the child, but we will not force the child to take any medication. If the child does not want to take the medication, we will contact you at the number(s) provided in the Camp Medication Form. You can download the Camp Medication Form here. Each Camp Medication Form is valid for one week at a time only. Parents must complete a new form for each week of camp, and for the length of prescription as stated by the physician, e.g.: antibiotic 7 days, unless otherwise stated by the physician. Please note that we are not able to refrigerate medications at most camp locations, so any medications you send that must remain cold should be in an insulated and cooled container that you send to camp. Language Kids World may choose not to administer certain medications, provided that Language Kids World complies with all applicable legal obligations, including under the Americans with Disabilities Act, regarding the administration of medication. The Camp Medication Form must be submitted to Language Kids World at least 7 days before the first day of camp.
Allergies and medical conditions • Please note that Language Kids World is not a nut free or allergen free program. Although Language Kids World does not offer lunch or snacks to campers, nuts and other allergens may be present during snack time, lunch time, and other times. Parents and caregivers are responsible for informing Language Kids World in writing of any allergies or relevant medical conditions their child may have. Allergies and all relevant medical conditions must be disclosed in the registration form at the time of camp registration. If a child develops an allergy or medical condition after registration, parents or caregivers must notify Language Kids World in writing at info@languagekids.com at least seven days prior to the first day of camp. Additionally, if any changes are made by a parent or caregiver to the registration details in the online portal, parents or caregivers must immediately inform Language Kids World in writing at info@languagekids.com to ensure camp staff are properly updated. If a child has an allergy and needs to bring an EpiPen to camp, parents must let Language Kids World in writing at info@languagekids.com and must also complete a Camp Medication Form.
ADA Policy • Language Kids World is committed to complying with the Americans with Disabilities Act (ADA) and all applicable state and local laws. We provide reasonable modifications to campers with disabilities unless a requested accommodation would impose an undue burden, fundamentally alter the nature of our program, or is otherwise not required by law. Lice Policy • Language Kids World is committed to minimizing the likelihood of transmitting lice at camp, so we have adopted a no-nit policy. Children with any evidence of lice, including nits (egg casings) alone, will not be able to participate in the program. If a camper shows evidence of lice, we will contact the camper’s parents, authorized caregivers, or emergency contacts immediately and the camper will be sent home. We will email the families of campers in the same group as the camper on whom lice were found. We recommend that parents or guardians conduct a lice check at home or have a check conducted by a trained professional. Campers will be able to return to camp once no evidence of lice is found present. Language Kids World does not guarantee that lice won’t be present at camp and Language Kids World will not be responsible for reimbursing the cost of a lice check or treatment.
Immunization Records • The camper’s parent or authorized caregiver hereby certifies that the camper’s immunization record is current and on file at the camper’s school or that the camper has a documented exemption. By acknowledging this policy, the parent or authorized caregiver of a registered camper declares that the camper has received all necessary vaccinations according to their school’s requirements, and that the official vaccination record or valid exemption document is already submitted to the camper’s school for their records. If a camper is homeschooled, the parent or authorized caregiver declares that the camper has received all necessary vaccinations as required by the State of Texas, and that the official vaccination record or valid exemption document can be provided upon request. The camper’s parent or authorized caregiver understands that this is required for their child’s enrollment and attendance at the camp.
Coronavirus COVID-19 and Communicable Diseases Warning and Disclaimer • Coronavirus (COVID-19) has been declared a worldwide pandemic by the World Health Organization. COVID-19 is an extremely contagious disease that can lead to severe illness, personal injury, permanent disability, or death. Parents and campers must follow all safety protocols that Language Kids World has established for the protection of campers, families, and staff members. Safety protocols and instructions may be provided in writing or orally and they must be followed by campers, parents or caregivers, or any person dropping off or picking campers up from camp.
An inherent risk of exposure to COVID-19 and other communicable diseases exists in any public place where people are present. Participation in our programs is voluntary and Language Kids World does not make any warranty or representation that a COVID-19 or other communicable diseases infection will not occur through participation in Language Kids World programs.
Language Kids World cannot guarantee that the camper or any members of their household will not come into contact with other individuals who are infected with COVID-19 or other communicable diseases or that the camper will not become infected with COVID-19 or other communicable diseases.
Language Kids World retains the right to require or not masks at camp, classes, or any programs at any point. The decision on whether masks will be required or not at camp, classes, or any programs may be adjusted at any point prior to or during any session, camp week, or program period. There are no refunds for camp based on our mask policy.
By enrolling and participating in Language Kids World programs and interacting with Language Kids World teachers, staff members, and other campers, the parent or authorized caregiver registering a camper for any of our programs on behalf of himself or herself and all members of his or her household:
- Assumes the risk that a camper or a member of his or her household or people close to him or to her may be exposed or infected by COVID-19 or other communicable diseases by attending the program and all risks associated with COVID-19 or other communicable diseases;
- Agrees to follow Language Kids World safety protocols, whether they are provided orally or in writing;
- Understands the risks of becoming exposed to or infected by COVID-19 or other communicable diseases while participating in the program;
- Holds harmless Language Kids World, its employees, agents, and representatives of and from all claims.
Protocol for Illness• Parents will be notified by Language Kids World of any symptom of possible illness. Parents will be expected to pick up a camper who appears to be too ill to remain in the camp within 1 hour. Until the parent arrives, the camper will sit near a staff member secluded from the main program area. A camper may not remain at or return to camp if they have any of the following symptoms, which are provided as examples: fever over 100.4° F, vomiting, diarrhea, inflammation of the eyes, abscess or draining sores, or excessive coughing. Campers may only return to camp once they have been fever-free for more than 24 hours without the use of fever-reducing medication.
Sunblock • If you would like your child to wear sunscreen at camp, you must apply it on your child before they arrive to camp. Our staff can’t apply sunscreen lotion to your child.
Insect Repellent • Insects are a part of life in Texas. If you are concerned about any type of bug bites on your child, please apply insect repellent to them before they arrive to camp.
Medical Authorization and Permission to Treat • Parents agree to submit all required forms, including the Camp’s medical forms, by the deadlines provided for those forms by Camp.
- Parents and Camper hereby assume all liability for any negative consequences, including injuries to the Camper or others, which may arise from a failure to: submit the required forms; submit the forms on time; or provide accurate information on the forms.
- Parents and Camper affirm, and have confirmed with the Camper’s pediatrician or primary care provider, that the Camper can safely participate in the essential elements of the Camp program with or without reasonable modifications. If the Camper requires modifications, then Parents affirm that they have requested, or will promptly request, such modifications in writing from Camp, in accordance with Camp’s reasonable modifications policy.
- Parents authorize Camp to: make medical decisions on the Parents’ and Camper’s behalf if the Camper becomes ill; administer the Camper’s medications as instructed by Parents on the Camp’s medical forms; administer emergency, non-emergency, and/or routine medical care and first aid; have the Camper hospitalized and/or use outside medical, surgical, or dental providers, including providers that do not accept the Camper’s insurance; and screen the Camper for communicable diseases before and during the Program.
- Parents authorize the following disclosures of the Camper’s medical information and medical condition:
- Parents authorize the Camp’s leadership and/or medical staff to access and discuss the Camper’s medical forms, and to disclose medical information on a need-to-know basis to other Camp staff to facilitate proper care and supervision of the Camper.
- Parents authorize any medical, surgical, or dental provider, including any hospital, to communicate with Camp staff and disclose information to Camp staff, about the Camper’s medical condition, treatment, and prognosis.
- Parents authorize the Camp to share the Camper’s medical information as needed with hospitals, outside medical, surgical, or dental providers, and the emergency contacts listed on the Camp application.
- Parents agree to reimburse the Camp in full if the Camp incurs any expenses for the Camper’s medical treatment, including emergency and non-emergency treatment which takes place without Parents’ advance knowledge. Parents acknowledge and agree that they shall be solely responsible for any medical costs and expenses incurred directly and/or indirectly by the Camp as a result of Camper’s participation in Camp Activities, programs, and events.
- Parents acknowledge and agree that the Camper has in place, and that it is Parents’ obligation to have in place for the Camper, all appropriate insurance to cover the Camper in connection with the Camper’s attendance of the Camp, including without limitation medical and liability insurance coverages. Parents further acknowledge and agree that Camp has no obligation to obtain coverage for these purposes, and that any insurance Camp may have does not diminish Parents’ obligation to obtain appropriate coverage.
- Parents acknowledge and agree that in the event of any medical issue, including a minor injury, serious injury, or communicable disease, the Camp has the option to mandate treatment at home and require a doctor’s certification before allowing the Camper to return to the Program.
Rainy Days • Our goal is for all children to have outdoor time at least once per day. However, this may not be possible on rainy days. In such cases, we will have planned indoor activities to ensure the children remain engaged and active.
Excessive Heat • During the summer, we may experience excessive heat, which can pose safety concerns for the children. To minimize exposure to high temperatures, we will schedule outdoor activities early in the morning when it is cooler. In the afternoons, when temperatures are higher, we will engage campers in indoor active play activities. For the safety of all campers, we will not conduct outdoor activities if the temperature exceeds 90 ° F.
Extended Immersion • Please be aware during Extended Immersion, children from different language camps will not be combined in the same classroom.
Technology Policy • If a camper brings a phone, tablet, watch, or any other device to camp, he or she must put it away in their bag or backpack. Language Kids World staff may take a device from a camper and put it in a safe place if a camper brings it out of their bag or backpack. If parents wish their child to have access to a device for emergency or specific purposes, they are free to give the device to the camper’s teacher to safeguard during the day. Language Kids World is not responsible for lost, stolen, or damaged devices.
Dress Code • Campers should wear comfortable clothing suitable for active play, such as t-shirts and shorts. A light sweater is recommended for cooler indoor environments. Activities at camp may involve materials like soil, paint, or other substances that could stain clothing. Please ensure your child wears items that can get dirty and avoid sending any clothing or items you do not want to risk being soiled.
Third-Party Catered lunches • Language Kids World does not offer lunch or snacks at camp. Lunches are catered by a third-party company, The Simply Fresh Kitchen, and must be ordered directly through them. Please visit https://languagekids.com/camps/catered-lunch/ to find all the details on how to order lunches as well as the lunch menu. Their contact information is 346-571-7971 or https://new.thesimplyfreshkitchen.com/ If you purchased lunch, please let your child’s teacher know. If you purchase lunch in the middle of the week, also please let your child’s teacher know.
Lunches are catered through a third-party company, and Language Kids World doesn’t have immediate access to a list of campers who purchased lunch. When ordering lunch, please ensure that you select the correct camp location, as we have multiple camp locations. If you transfer to a different camp and have already ordered lunch for the original location, it is the parent’s responsibility to contact the catering company directly to update them about the change.
Language Kids World is not responsible for the third-party catering company’s menu or for communicating camper allergies to them. Parents or authorized caregivers who purchase lunch through the third-party catering company are responsible for informing the company of any allergies or dietary preferences for their child.
Language Kids World is not responsible for ensuring the delivery of lunches by the third-party catering company. In the event of any issues with lunch delivery, including delays or cancellations due to weather conditions or acts of God, parents must communicate directly with the third-party catering company to request a refund and make alternative arrangements for their child’s lunch.
Even if you ordered a catered lunch for your child, please make sure you send them with a snack and a water bottle.
Lunch and snacks • If you are not catering lunch for your child, please make sure they bring lunch to camp. All campers must bring a snack to camp as well, even campers that catered lunch (the catered lunch does not include a snack). Children are active at camp, and we suggest you send a couple of snacks with your child as well, especially if your child is staying at camp for extended immersion. At camp, we are unable to provide refrigeration or heating for lunches. Therefore, please ensure your child is sent with a lunch that is suitable for these conditions. Please ensure your child brings a water bottle to camp every day.
Forgotten Lunch Fee • If a camper does not bring lunch to camp, parents will be notified so they can bring the lunch to camp before lunchtime. If parents are unable to do so, Language Kids World staff will order lunch for the camper and parents will be charged a $15 forgotten lunch fee. Forgotten lunch fees will be invoiced to parents, and if not paid within three days, they will be charged to the card used for camp registration.
Camp Locations • Please be aware that the locations where our summer camps are provided are not licensed daycare facilities. Security measures may vary by camp location; some locations allow parents onto the premises while others do not, and some locations may have security cameras while others do not. Please refer to your camp’s newsletter for specific details regarding camp access. The camp newsletter will be emailed to you the week before each week of camp.
Arms and Firearms • Firearms, weapons, or any type of arms—whether carried openly or concealed—are strictly prohibited inside all camp buildings, classrooms, and common areas, except when carried by authorized security personnel.
Activities and Parental Consent
- During the camp program, the camper may use playground equipment, play active games indoors or outdoors, encounter insects while playing outdoors, use paint, glue or other materials to create crafts, participate in language and culture instruction through play-based activities, games, music, storytelling, arts and crafts, indoor and outdoor group games, cultural enrichment activities, and light physical movement; be in the presence of other children and adults in an educational group setting; walk on sidewalks and other public pedestrian areas; and engage in other activities that are designed to promote cultural understanding, language acquisition, creativity, and physical coordination (collectively, the “Activities”).
- Parents acknowledge that campers bring their own meals to camp or order meals from a third party food service provider. Therefore, campers may come into contact with, be exposed to, or be in close proximity to foods, including ingredients in foods, to which campers may have known or unknown food allergies. Campers with significant allergies may suffer illness, ailments, trauma, and even death from contact with or ingestion of certain foods. Camp does not provide an “allergen free” environment, makes no representations or warranties, either expressed or implied, that it provides an “allergen free” environment or that meals are absent of foods and ingredients to which campers may be allergic.
- Parents acknowledge and agree that, during the Camper’s time in Camp, the Camp acts “in loco Parentis” (in place of the Parents) and makes decisions on behalf of the Camper as needed. Parents authorize Camp to make relevant decisions on the Camper’s behalf including but not limited to the following:
- Parents authorize the Camper to participate in all current and future Camp activities of which Parents are aware or not aware. These programs and activities include but are not limited to the Activities set forth above.
- Parents authorize Camp to search the Camper’s possessions for any reason or no reason at all, within the Camp’s sole discretion.
Assumption of Inherent Risk, Waiver of Liability, and Indemnification
- Regardless of the care taken by camp and its staff, participating in camp and the activities entails inherent risks and dangers, including but not limited to vehicular accidents, sports-related and fitness-related injuries, slips, falls, fractures, cuts, sprains, animal-related injuries, insect and reptile bites, injuries caused by adverse weather and environmental factors, allergic reactions to foods and environmental conditions, water-related injuries and drowning, emotional upset, and harm caused by communicable diseases. Given the nature of the Camp experience, it is impossible to eliminate all risks or ensure the complete safety of the Camper.
- Neither Parents nor the Camper will hold Camp or ITS owners, directors, partners, shareholders, employees, independent contractors, agents, vendors, volunteers, guests, officers, attorneys, parents, subsidiaries, partners, successors, predecessors, or any such individual’s heirs, agents, or assigns (“Released Parties”) liable if Parent or the Camper is injured, dies, or incurs any other loss as a result of an inherent risk of the Camp experience. Parents and the Camper knowingly assume the inherent risks of the Camp experience and Camp Activities. Parents and the Camper agree that the Released Parties, other than camp itself, shall be considered third party beneficiaries of this Agreement.
- Parents release, waive, and discharge the Released Parties from liability for any and all claims, suits, or actions for injury, death, or other loss resulting from the inherent risks of Camp or the ordinary negligence of the Released Parties. Parents covenant not to sue or take any other legal action against the Released Parties for any injury, death, or loss resulting from ordinary negligence or an inherent risk of Camp.
- To the greatest extent permitted by law, Camper releases, waives, and discharges the Released Parties from liability for any and all claims, suits, or actions for injury, death, or other loss resulting from the inherent risks of Camp or the ordinary negligence of the Released Parties. Camper covenants not to sue or take any other legal action against the Released Parties for any injury, death, or loss resulting from ordinary negligence or an inherent risk of Camp.
- To the greatest extent permitted by law, Parents agree to hold harmless, defend, and indemnify the Released Parties (i.e., defend and pay any judgment and costs, including investigation and court costs, and attorney fees) from any and all claims, suits, or actions of the Camper, Parents, their family members, or others arising from: injury, death, loss, or communicable disease incurred by the Camper or Parents due to participation in Camp; or any action of the Parents or Camper which causes injury, death, loss, or transmission of communicable disease to others.
- Parents and the Camper agree to this Assumption of Inherent Risk, Waiver of Liability, and Indemnification on behalf of themselves and their heirs, assigns, personal representatives, and spouses. This Assumption of Inherent Risk, Waiver of Liability, and Indemnification applies today and on all future dates.
- Nothing in this Agreement absolves Camp from liability for gross negligence, recklessness, or intentional misconduct.
Force Majeure Clause: We reserve the right to cancel or modify camps due to circumstances beyond our reasonable control, including but not limited to inclement weather, natural disasters, acts of God, communicable diseases (including COVID-19), pandemics, epidemics, government mandates, utility outages (including loss of power or water), or any other unforeseen events or conditions that render the operation of the camp unsafe, impractical, or impossible. In such instances, no refunds will be issued. No refunds will be made if a session is canceled due to any such force majeure event.
Photo Release • I understand that photographs, video, and/or digital images (herein images), may be taken of my participation or my minor’s participation in various activities while at class, camp, or any other programs provided by Language Kids Houston LLC. I understand that no names or personal contact information will accompany any images. I understand that these images may be used in slide shows, website photo albums, video yearbooks, and other promotional materials and/or publications. I acknowledge below that I do consent to such images of my likeness or my minor’s likeness being taken and do not request compensation for the use of my likeness or my minor’s likeness. I grant Language Kids Houston, LLC and host sites the absolute right to copyright, re-use, publish, and republish by any medium, including electronically, any photos included that may be taken while participating in a Language Kids Houston, LLC event, camp, program, or class. I am aware that security electronic monitoring may occur by the hosting facility at some camp locations; however, this varies by location.
Email Communication • I hereby authorize Language Kids Houston LLC to add me to their email distribution list and send me emails regarding Language Kids World programs, which may include program information, weather alerts, and other important information. I understand that I may opt out of receiving emails from Language Kids World at any time by using the unsubscribe button in the email or by requesting to unsubscribe via email at info@languagekids.com.
Text Authorization • By providing my mobile phone number, I authorize Language Kids Houston LLC to send me SMS/text messages related to Language Kids World programs, including but not limited to program updates, weather alerts, scheduling changes, marketing communications, and other important information. I understand that message and data rates may apply depending on my mobile carrier and that message frequency may vary. I may opt out of receiving text messages at any time by replying STOP or OPT-OUT, or by sending an unsubscribe request via email to info@languagekids.com. I may also reply HELP at any time to receive additional information or assistance. I understand that my consent to receive text messages is not a condition of enrollment in any Language Kids World program. For more information about how my information is used, I may review the Privacy Policy.

By registering for any of Language Kids World’s programs, parents or caregivers registering their child acknowledge they have read and agree to these policies.
